Otter Lodge - Terms & Conditions of Booking
The Holiday Contract - The following terms & conditions (the 'booking conditions') will apply to your booking. A contract between you and the owners of the lodge(s) will come into existence when we accept your completed booking confirmation form & deposit or balance payment by issuing written confirmation of your booking. The contract binds you, as the lead guest, & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.
Deposits- A non-refundable deposit of 25% of the holiday price or £50 (whichever is greater) is payable at the time of booking. Bookings made less than eight weeks before your arrival date must be accompanied by the full amount of the holiday charge.
Balance - The Balance must be paid so as to arrive no later than eight weeks before the commencement of your holiday. If the balance is not received by the due date then your holiday will be treated as a cancellation and your deposit will be forfeit. For security reasons please do not send cash by post.
Damage Deposit - We do not take a damage deposit. However, in making a booking you accept responsibility for any damage caused by you or any member of your party (including pets) and agree to indemnify us in full for any loss that we may incur as a result. This includes the loss of any keys. In the event of damage an invoice will be sent to the lead guest for immediate payment. Failure to compensate us for damage caused will result in court action. For the avoidance of doubt, by agreeing to these terms and conditions you undertake to inform us immediately if you notice any damage on arrival.
Damage to Property - Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you do notice damage in your accommodation please let us know immediately so that we can take the appropriate action. Accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage found.
Payment Address - Payments can be made credit or debit card (2% charge), bank transfer (details on request), or by cheque or postal order.
Cancellations- If you cancel your holiday more than 8 weeks before it is due to start then your deposit will be forfeit. If you cancel less than 8 weeks prior to the holiday then the full balance remains due and is not refundable. We strongly recommend that you take out suitable holiday insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
Cleaning /Laundry Charge - A cleaning & laundry charge is payable in addition to the base cost of your holiday. Only one cleaning charge per break will be levied. Should you wish to have the lodge cleaned during your stay this can be arranged at your own cost.
Use Of The Lodge - Only those people registered with us (i.e. listed on the booking form) can occupy the lodge and use the facilities of Limefitt Park. If this legal requirement under both the Immigration (Hotel Records) Order 1972 (as amended) and our licence agreement with South Lakeland Parks is not met, then your booking will be terminated and you will be asked to leave immediately, with no refund made. Furthermore a charge of £100 per night per unregistered guest will become due. Parties & gatherings at the property of people other than guests listed on the booking form must always have the permission of the owner. The total number of people (including children) in the property must not exceeed eight (8) at any time.
Changes To Your Booking - After you have paid your deposit you may wish to change some elements of the holiday. We will try to meet your request, however, a charge of £10 per alteration to the holiday will be payable. Any changes must be made at least 8 weeks before the holiday date & be confirmed to us in writing/by telephone by the same person who made the booking.
Arrival & Departure Times - On your day of arrival your accommodation is available from 3.00 p.m. Should you wish to arrive earlier you can take advantage of the Park facilities until your accommodation is ready for you. Our cleaners do need time to do their job properly so we ask that you do should not arrive at the Lodge before they have finished. In order for us to prepare for our next guests we do ask that you vacate your accommodation by 11.00 a.m. on your day of departure
Late Arrivals - Unless we are previously notified, you must claim your accommodation by 8.00am on the day after your holiday was due to start, otherwise your booking will be treated as cancelled. Please note that the park gates are locked bewteen 11:30 p.m. and 7 a.m.
Smoking Smoking is strictly forbidden inside the lodges. In the event that the lodge smells of smoking at the end of your stay you will be asked to pay a minimum £100 cleaning and deodorising fee and will be liable for any further costs and any consequential losses that we may incur if subsequent guests elect not to stay in the lodge as a result of the smell.
Barbecues For safety reasons, no barbecues of any type may be used on the lodge decking. Please use the garden to the side of the lodge instead.
Single Sex Groups - Single sex groups will not be accepted without prior discussion. We also reserve the right to refuse or terminate a booking where we feel that the comfort and enjoyment of other guests may be put at risk or compromised. For the avoidance of doubt here, we positively welcome all guests regardless of sex, gender identity or sexual orientation.
Disabled Guests - We are sorry but our lodges have steps and are not easily accessible by guests who need to use wheelchairs. We are happy to provide as much advice & information as possible to people with disabilities who wish to holiday at our lodges. Please contact us for more information.
Cots & highchairs A travel cot & highchair are available at no extra charge. Please enquire at time of booking. If a cot is booked please remember to bring your own cot linen.
Children - Please note that children remain the responsibility of their parents or guardians at all times.
Dogs & other pets A maximum of two dogs are allowed in the lodge on the clear understanding that in no circumstances may they lie on the bedding or the chairs. Dogs must not be left unattended in holiday homes or elsewhere at any time. Failure to comply with this requirement my result in curtailment of your holiday. We reserve the right to decline certain breeds of dog. Where dogs are permitted, they must always wear a collar & identity tag & be kept on a lead under control of a responsible adult at all times. We reserve the right to require the owner of any dog to remove it from the lodge if we consider it a nuisance or to be interfering with the general comfort of other guests. We are unable to take bookings for the following breeds of dog: American Pit Bull, Japanese Tosa, Dogue Argentina, Fila Brasileiro or any other dog deemed dangerous by the Dangerous Dogs Act.
Electrical Equipment/Appliances - Only the electrical equipment & appliances supplied by us within the accommodation are to be used. For your safety & the safety of others & to prevent a potential fire risk the use of your own electrical equipment & other appliances including HiFis, VCRs or any other electrical equipment & other appliances requiring a mains voltage is not permitted.
Your safety - We provide an access statement for each lodge on our main website at www.lakedistrictholidaylodges.co.uk . In agreeing to our terms and conditions you warrant that you have made yourself familiar with the access statement for the lodge you will be using.
Right of Entry - We reserve the right to enter accommodation at any time under any circumstances or emergencies.
Unreasonable behaviour - We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking or their guests may impair the enjoyment, comfort or health of other guests at Limefitt Park.
Availability of facilities - In some circumstances accommodation, entertainment or a facility may be temporarily withdrawn due to maintenance, renovation, adverse weather conditions or any other factor outside our control. We reserve the right to make such alterations as are necessary in the above circumstances without prior notice, & are unable to pay compensation for any inconvenience caused. Certain facilities are subject to an additional cost. Please note availability of off-peak facilities like those at the leisure facilities at White Cross Bay, the on-site shop and the Hay Barn Inn may be reduced or restricted at certain times of year - please enquire at time of booking.
Brochure Accuracy - We shall use our best endeavours to ensure the availability of all amenities advertised in the brochure, web site or elsewhere. All information, pictures and descriptions published have been compiled from the most up-to-date and accurate information available at the time of compilation and are published in good faith.
Data Protection Policy Statement - We will hold information provided by you to us in connection with your booking(s). It will be used in connection with your booking & for informing about the lodge. If you are on our mailing list & do not wish to receive any future news then please let us know by email.
Special Offers- Special offers can only be honoured if mentioned at the time of booking.
Limitation of Liability - We accept responsibility for those arrangements of your holiday which are within our control, but we cannot accept liability for any injury, loss or damage, consequential or otherwise suffered by you or any other member of your party, unless there was willful default by us, our employees or agents, or unless death or personal injury was caused by our negligence.
We are here to help - If you feel that you have any comments or complaints whilst on holiday, you should contact us during your stay so that we can try to resolve any problems as soon as possible. Any other complaints or problems must be brought to our attention in writing within 28 days of the end of your holiday.
Variation - We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
